Student Responsibilities & Learning Guidelines


To maintain a productive and respectful educational environment, all students are expected to follow these guidelines during their learning journey with the Academy.

Respect & Communication
Students must maintain respectful and professional behavior toward teachers and support staff at all times.

Punctual Attendance
Students should join sessions on time and are encouraged to log in at least 5 minutes before the lesson begins.

Learning Environment
Students should attend classes from a quiet and distraction-free environment to maximize focus and participation.

Active Participation
Students are expected to remain attentive, engaged, and actively involved throughout the session.

Homework & Assignments
All assignments and practice tasks should be completed according to the teacher’s instructions and deadlines.

Camera Usage
Students may be asked to enable their camera during sessions to improve communication and interaction.

Privacy Policy
Recording lessons or sharing class content without prior permission from the Academy is strictly prohibited.

Technical Requirements

Stable Internet Connection

Students must have a reliable internet connection to avoid interruptions during lessons.

Audio & Camera Check

Students should test their microphone and camera at least 5 minutes before class starts. Using headphones is highly recommended to improve sound clarity and reduce background noise or echo.

Recommended Devices

For the best learning experience, students should use a laptop, desktop computer, or large tablet. Mobile phones are not recommended for regular sessions.

Scheduling & Class Experience

All classes are organized through the Academy’s scheduling system to ensure smooth coordination between students and teachers.

Scheduled Sessions
All classes are scheduled in advance through the Academy’s official calendar system.

Accessing Lessons
Students can access their lesson schedules and session links through the designated student platform or communication channel.

Schedule Management
Students are encouraged to review their schedules regularly to stay updated on lesson timings and links.

Requests & Adjustments
Any requests related to scheduling, pauses, or changes must be submitted through the Academy’s official administrative channels.

Flexibility & Rescheduling Policy


We understand that unexpected situations may occur. To provide flexibility while maintaining educational consistency, the following rescheduling policy applies.

Monthly Rescheduling Limit
Students are entitled to a maximum of three (3) rescheduling requests per calendar month.

Advance Notice Requirement
Rescheduling requests must be submitted at least two (2) hours before the scheduled session start time.

Administrative Approval
All rescheduling requests are subject to availability and administrative coordination.

Make-up Session & Expiry Policy

The Academy provides make-up sessions under specific conditions to help students maintain educational continuity.

Eligible Cancellations
Only sessions cancelled within the approved notification period qualify for make-up sessions.

Teacher Absence
If a teacher is absent, the student is entitled to a full compensatory session.

Credit Conversion
In certain situations, the Academy may convert eligible make-up sessions into account credit for future billing cycles.

60-Day Validity
All make-up sessions must be scheduled and completed within 60 days from the date of the missed lesson.

Automatic Expiry
Unused make-up sessions automatically expire after the 60-day period.

Credit Alternative
If scheduling a make-up session is not feasible, the Academy reserves the right to convert the session into account credit at its discretion.

Cancellation & Attendance Policy


To maintain fairness and scheduling consistency for all students and teachers, the following attendance and cancellation policies are strictly enforced.|

Valid Cancellation
Sessions cancelled at least two (2) hours before the lesson start time are eligible for make-up sessions.

Late Cancellation
Any cancellation made less than two (2) hours before the session start time is considered a late cancellation.

Absence Without Notice
Missing a class without prior notice is considered an absence.

Non-Eligible Sessions
Late cancellations and absences are not eligible for make-up sessions or compensation.

Payment & Subscription Policy

To maintain scheduling consistency and ensure the stability of teacher availability, the Academy operates on a prepaid subscription basis.

Prepaid Billing
All subscription fees must be paid in full before the beginning of each billing cycle.

Late Payment Policy
If payment is not received after the second scheduled session, the student’s schedule may be temporarily paused, and reserved time slots may no longer be guaranteed.

Resuming Classes
Classes will resume once the administration confirms that payment has been successfully received.

Refund Policy


Eligible Refund Cases
Refund requests may only be considered in situations where the Academy is unable to provide a suitable instructor or in cases of major service disruptions directly caused by the Academy’s internal systems.

Non-Eligible Refund Cases
Refunds are not granted for:
-Change of mind
-Personal schedule conflicts
-Repeated student absences
-Violations of the Academy policies or code of conduct
-Voluntary account termination

Individual Review Process
Every refund request is reviewed individually on a case-by-case basis to ensure a fair and balanced outcome.

Teacher Replacement Policy

The Academy is committed to maintaining a productive and comfortable learning relationship between students and instructors.

Requesting a New Teacher
Students or guardians may formally request a teacher replacement if the assigned instructor does not align with the student’s learning needs or preferences.

Alternative Instructor
The Academy will make reasonable efforts to provide a suitable replacement instructor based on availability.

Transition Understanding
Students and parents acknowledge that a replacement teacher may have a different teaching style, teaching method, or available schedule.

Inactive Students & Schedule Suspension


To ensure efficient scheduling and proper allocation of teaching resources, the Academy maintains the following attendance and inactivity procedures.

Consecutive Absences
The Academy reserves the right to temporarily suspend a student’s schedule if the student misses two consecutive sessions and remains unresponsive to administrative communication.

Schedule Reactivation
Suspended schedules will only be resumed after direct confirmation from the student or the student’s parent/guardian.

Recording & Privacy Policy

Zumrat Al-Quran Academy is committed to maintaining a secure, respectful, and private educational environment for all students and teachers.

Internal Recording Rights
The Academy reserves the right to record sessions for internal quality assurance, teacher evaluation, and training purposes.

Confidentiality
All recordings, student information, and educational data are treated as strictly confidential and stored securely with restricted administrative access.

Student Recording Restrictions
Students and guardians are strictly prohibited from recording, distributing, or sharing lesson content without prior written authorization from the Academy.

Support & Complaints Policy


The Academy is committed to resolving educational and administrative concerns efficiently and professionally.
To ensure all requests are properly documented and processed, students and parents must use the Academy’s official communication channels.

Non-Official Communication
Messages sent to teachers’ personal accounts or through unofficial channels are not recognized as formal administrative requests.

Future Support System
The Academy may introduce a centralized support platform in the future to streamline all student communication and support services.

Disciplinary Action & Misconduct

The Academy maintains a professional code of conduct to protect the integrity and quality of the educational environment.
The administration reserves the right to take appropriate action when necessary.

Disrespectful Conduct
Any behavior considered disrespectful, abusive, or unprofessional toward teachers, staff, or students.

Policy Violations
Failure to comply with Academy policies and guidelines.

Classroom Disruption
Repeated or intentional behavior that negatively affects the quality of the learning environment.

Administrative Rights
The Academy reserves the right to suspend or terminate services in cases involving serious or repeated misconduct.

Official Correspondence


All educational, scheduling, billing, and administrative matters must be communicated exclusively through the Academy’s verified official channels to ensure proper documentation, recognition, and processing.

The Academy is not responsible for requests, agreements, or communications conducted through unofficial platforms or personal accounts.
